About the Department of Foreign Affairs and Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position

The Corporate Services Officer (Property Management) is part of a team that ensures Embassy staff and the families of diplomatic officers can enjoy safe, secure and reliable office and home environments. This position takes a leading role in managing the Embassy’s residential property portfolio. The position coordinates the Embassy’s residential lease arrangements, negotiates directly with landlords and service providers, and provides day-to-day line management for junior team members.

The key responsibilities of the position include, but are not limited to:

  • Provide advice and recommendations to management on matters relating to the Embassy’s property portfolio, including leases and other contractual arrangements
  • Manage day-to-day property matters, including coordinating residential lease arrangements, ad hoc and regular repairs and maintenance, asset purchases and inventory and risk registers to ensure properties are well-maintained and fit for purpose
  • Apply sound judgement and expertise to make decisions within set budget limits and in line with relevant guidelines and legislation
  • Supervise and coordinate the workflow of a small team
  • Liaise and negotiate with internal and external stakeholders (such as colleagues, landlords, suppliers, and tradespeople), on property portfolio issues, including resolving lease and contract non-compliance
  • Maintain accurate property records and databases, and contribute to reporting as required
  • Provide other corporate support duties as required

Qualifications/Experience

  • Excellent written and oral communication skills in fluent English and German
  • Demonstrated understanding of DFAT guidelines as well as relevant Australian and Austrian legislation, particularly in relation to property and financial management
  • Ability to work independently within set limits, to meet deadlines and deliver outcomes
  • Ability to supervise a small team, and to coordinate workflows with colleagues across the broader Corporate Services Section
  • High levels of discretion and judgment, and demonstrated attention to detail
  • Ability to build and maintain productive stakeholder relationships and networks
